Objectives of the Position

  • Ensure accurate and timely execution, processing, and settlement of all trades for BASF Metals (Shanghai) Ltd. (BMSL) and BASF Metals Japan Ltd, working closely with the centralized operations team in the United Kingdome to maintain consistency, compliance, and operational efficiency across regions.
  • Provide end-to-end operational support to trading and commercial activities, including contract administration, pricing validation, and VAT handling.
  • Coordinate physical metal movements, both import and domestic, in alignment with supply chain and customer delivery schedules.
  • Support supply chain planning through monitoring of material commitments, inventory levels, and forecasted shipments.
  • Contribute to financial reporting accuracy and compliance by participating in monthly closing, audit preparation, and adherence to financial controls.
  • Act as a regional key user for the Trinity trading system, supporting system testing, upgrades, and continuous improvement projects.
  • Identify and escalate operational risks or process inefficiencies, supporting the implementation of best practices across trading operations.
  • Collaborate closely with the global operations team, centralised in the United Kingdom. Work as a part of team to cover Asia Operations (BASF Metals (Shanghai) Ltd & BASF Metals Japan Ltd) regional responsibilities reporting directly to the Operations Team Lead in Shanghai.

Main Tasks

Processing of Trades and SAP Transactions

  • Recording all executed trading activity in Trinity - trading system.
  • Ensuring all trade life cycle events run through the Trinity – trading system. Ensure trades / positions are reconciled.
  • Tracking that customer documentation is updated in the Trinity system and confirms are signed and returned to the bank in accordance with the bank’s policy.
  • Liaise with finance/credit re payment of trades/associated invoices.
  • Provided operational guidance to any new metal flow and support commercial teams with analysis.

Metal Movements / Shipping and Reconciliation

  • Record stock pool movements of metal releases and receipts of physical precious metal from third parties.
  • Liaison officer for any import / export process and metal management.
  • Review shipping documents including invoices/VAT/Tax and duty suspension documents.
  • Elevate any operational issues in a timely fashion to operations team lead.

Support in Supply Chain Activities

  • Support Supply chain forecasting. Monitor any forecast deviations and rectify immediately.
  • Support Execution of all Supply Chain related SAP transactions for Solutions.  This includes the receipt of Purchase Orders from external customers, entry of Sales Orders to BASF site.  Ensure all transactions are completed in a timely and accurate fashion.
  • Support with logistics, communication with customers and suppliers. Collaborate with appropriate parties to ensure no issues with physical movement of goods. Ensure inventory accuracy is maintained.

Compliance

  • Execute the robust internal controls that exists in order to satisfy internal, year-end, Financial Reporting Compliance (FRC) audits. Including maintaining and updating Process Controls as and when required.
  • Ensure that BASF guidelines are properly implemented and that requirements are fulfilled in a timely manner

Value-Added Taxes

  • Be aware of VAT regulations and the implications for the business

Ad hoc

  • Projects – support of and participation in, projects of the business unit.
  • System testing – be part of a global team who periodically user test new system versions and development in Trinity trading system.

Minimum Education and Qualification Required for the Position

  • Education: bachelor’s degree in finance, Economics, Business Administration, or related discipline
  • Working Experience: 3+ years in a professional office environment. Trading, Supply Chain, or financial experience seen as a benefit.
  • Strong personal computer skills (i.e., SAP, Intermediate/Advanced Excel, Word and Power Point)
  • Good numerical and analytical skills combined with attention to details. 
  • Must be fluent in English with excellent written and verbal communication skills.
  • Must be detailed oriented and a collaborator.
